Reporting directly to the Executive Director, the Administrative Assistant serves as the primary point of contact for clients/customers and the public. This role supports the Executive Director in carrying out the day-to-day functions of the including customer communications, event coordination, financial record-keeping, and general office support. The position plays an important supporting role in ensuring the office operates efficiently and that all interactions reflect the organizations commitment to professionalism and service.
• Answer and professionally route all incoming phone calls
• Maintain organized digital and physical filing systems
• Support day-to-day office operations and general administrative tasks
• Assist the Executive Director with scheduling, coordination, and correspondence
• Serve as the first point of contact for questions and requests
• Provide accurate information about membership benefits, programs, and renewals
• Maintain and update records in the industry specific management platform
• Support new client onboarding and existing client renewals
• Assist with setup and logistics for educational programs, workshops, and various events
• Process accounts receivable (AR) and accounts payable (AP)
• Receive, record, and deposit funds including checks and electronic payments
• Maintain accurate financial records in QuickBooks Online (QBO)
• Assist with basic bookkeeping and reconciliation support
Skills:
• High School Diploma or GED equivalent required
• Minimum of 2 years of administrative or office support experience
• Strong organizational and multitasking skills with consistent attention to detail
• Excellent written and verbal communication skills
• Comfortable handling financial transactions with accuracy and confidentiality
• Proficiency in Microsoft Office Suite or Google Workspace and Zoom
• Experience with QuickBooks Online (QBO) preferred
• Experience with databases preferred
• Ability to work independently and prioritize effectively with minimal supervision
• Reliable, professional, and able to always represent the organization positively
• Ability to work under pressure and complete tasks within prescribed time frames
• Ability to collaborate effectively as a team member in support of the Executive Director
